What to do if your deposit does not show in your wallet

A missing deposit in your wallet is the question that scares first-time vault users the most. You handed cash to a Payment Partner agent, the receipt is in your hand, but the vault balance on your phone has not moved. The good news is: in essentially every case, the cash is fine and the deposit is on its way. This article walks through the four things that cause the delay, what you do for each one, and how long it actually takes before "delayed" becomes "needs reconciliation."

A missing deposit in your wallet: the first 90 seconds

Most deposits land in your vault within 60 seconds of the agent entering the reference code. The next 30 seconds are normal latency for a busy hour. So if you are looking at your phone 90 seconds after handing over the cash and the balance has not moved, three things to do, in order:

  1. Confirm signal on your phone. If your phone shows "no signal" or a weak indicator, your vault balance is not updating because your phone is not talking to its backend. Walk to a window, or just step outside the shop. Most Caribbean retailer interiors lose cellular signal at the back of the store; the deposit is in your vault, your phone is just not seeing it yet.
  2. Refresh the wallet view. Pull down on the wallet screen to force a sync. Sometimes the push notification gets delayed but the data is there.
  3. Re-check the reference code. On your receipt, the code printed by the agent should exactly match the code your vault showed before you walked in. One transposed digit is the most common cause of the "missing" deposit.

90% of the time, one of those three resolves the situation within another minute.

Deposit missing wallet: minutes 3 through 10

If it is now five minutes since the agent took the cash and your vault still shows no change, the cash is still yours — but a manual reconciliation step is starting to become useful. Walk back to the same agent with the receipt and ask them to look at their terminal.

The agent's terminal records every transaction it processes, including failed ones. If the transaction shows as "pending" on the agent side, your vault will catch up within a few minutes. If it shows as "failed," the agent can re-enter the reference code without you handing over cash a second time — the original cash is still on file at the agent.

Both outcomes are resolvable on the spot. The thing you want to avoid is leaving the agent's shop while uncertainty is unresolved; once you have walked away, the reconciliation takes a day instead of a minute.

Deposit missing wallet: more than 10 minutes

If 10 minutes have passed and nothing has moved on either side, message support from inside your VendaVault. The support team has visibility into both your vault's transaction log and the agent's terminal log; they can see whether the cash was committed and where the signal got dropped.

Three pieces of information will help the support team move fast:

  • The reference code your vault generated.
  • The transaction ID printed on the agent's receipt.
  • The agent's location name (visible on the receipt or in the vault's "find an agent" list).

With those three, reconciliation takes between 5 minutes and 24 hours, with most cases resolved within an hour. The cash is recovered or the deposit lands; one of the two happens by end-of-day in essentially every case.

What never happens

The cash never just disappears. Every Payment Partner agent is bonded and audited; every terminal logs every keystroke; every receipt has a unique transaction ID that ties the agent's record to the vault's record. The reconciliation system is the boring infrastructure that makes the front-end flow trust-worthy.

In the rare case (about 1 in 50,000 deposits, per our 2025 audit) where reconciliation takes longer than 24 hours, the policy is: the deposit is credited to your vault as soon as the cash side is confirmed at the agent, even if the signal side has not yet completed. You are not waiting for forensics; the cash side wins. The signal side gets reconciled by the support team in the background.

What this changes about how you use the network

It should change very little. The four-second visual on your phone after handing over cash is a habit worth keeping, the receipt is worth pocketing for 48 hours, and the rest of the time the deposit lands silently and you move on. Deposit missing wallet is a scary moment the first time it happens and a 90-second non-event after that.
